Missed calls do not show up on any report, which is why they are the easiest revenue leak to ignore. No invoice says "customer gave up and called your competitor." So put a number on it, with your own figures, in two minutes.
The formula
Missed calls per week × booking rate × average customer value = weekly cost of missed calls.
Worked example for a service business: 20 missed calls a week, where roughly a third would have booked, at $400 average job value, is about $2,600 a week in at-risk revenue. Even if only half of those callers were truly lost, that is over $60,000 a year, against a receptionist cost of a fraction of that. Run it with your own numbers; most owners find the result uncomfortable.
Why voicemail does not save you
The comfortable assumption is that missed callers leave a message and you call back. Caller behavior says otherwise: most people, especially new customers, hang up on voicemail and dial the next result in their search. The callback you planned to make is to someone who already booked elsewhere. Missed calls are mostly silent losses, which is why the leak never appears in your metrics.
Where the misses actually happen
- Peak hours, when everyone is serving customers and the phone rings out.
- After hours and lunch, which for many businesses is a quarter or more of total call volume.
- On the job, for trades and field businesses where answering mid-task is impossible. We wrote about that case specifically in our home services receptionist guide.
Three fixes, ranked by cost
- AI or answering service ($100 to $700 a month): captures the caller's details so at least the lead is not silent. Does not book complex work or handle judgment. See AI versus human receptionist.
- Overflow coverage: your team answers first, a remote receptionist catches what rings out. The highest-value calls stop leaking, at partial cost.
- Dedicated receptionist (roughly $850 to $1,500 a month flat): every call answered live by one trained person who books on the spot. Full price ranges in our cost guide.
Whichever tier fits, the formula above tells you your budget: your missed-call number is what doing nothing already costs. When the number says "fix it," our reception and call handling service is the flat-rate version of the fix.
Stop paying the missed-call tax.
