Every agent has a follow-up system in January. By March it is a stack of good intentions inside a busy calendar. The fix is not more discipline; it is a system simple enough to run without you, and someone whose actual job is running it.
Part 1: the first-week sprint
New leads get the speed treatment: called within minutes, then worked hard for a week. We covered the exact cadence and why it wins in our speed-to-lead guide. The short version: first call inside five minutes, multiple touches across days one through three, tapering through day fourteen, every touch logged.
Part 2: long-term nurture (where the money hides)
Most leads transact months later, with whoever stayed usefully present. Build three simple tracks:
- Hot (60 days or less): weekly personal touch, alternating call and text, anchored to their search: new listings, price changes, a relevant sale.
- Warm (2 to 6 months): every two weeks, value-first: neighborhood market snapshots, rate movements, a "did you see this one" listing.
- Long-term (6 months plus): monthly, light and human. The goal is simply to be the name they think of when the timeline firms up.
The rule that makes nurture work: every touch offers something, never just "checking in."
Part 3: CRM hygiene, the boring foundation
- Every lead gets a track (hot, warm, long-term) the day it arrives. Untracked means forgotten.
- Every conversation logged the same day, in the CRM, not your memory.
- Every contact leaves every interaction with a scheduled next touch. No lead sits without a future date on it.
- A monthly sweep re-sorts tracks and revives anyone who went quiet.
Part 4: who actually runs it
Here is the honest part: you will not run this. Not because you lack discipline, but because follow-up always loses to a live client in the priority fight, and it should. The system needs an owner whose only priority it is. That is the inside sales role, and it is the highest-leverage seat most agents ever fill, the economics are in our ISA cost breakdown.
Our real estate support service installs exactly this machine: one dedicated person, working your CRM on your hours, with a manager checking the logs daily. The system runs whether your week is calm or chaos, which is the entire point.
